Party booking terms

Prices, payment, cancellation and what to expect on the day.

These terms apply when you book a Louno Space birthday party. They are written to be read in five minutes. If anything is unclear, ask us before you pay: [email protected] or 07873 621402.

1. Who we are

2. What a party includes

  • A 90-minute activity session at your home or venue, run by a DBS-checked space engineer or trained Louno Space tutor.
  • All materials, build kits and launch equipment.
  • Custom party invitations with your child’s name, the date, time and venue, sent to you to share with your guests.
  • A certificate for every child.
  • Setup before the session and pack-down after it.
  • Public liability insurance.

The session is all activity. Food, drinks and cake are yours to plan, before or after the 90 minutes.

3. Prices

  • £180 for up to 10 children.
  • £12 for each extra child, up to 20 children in total. For a larger group, talk to us about two sessions.
  • Party bags are optional: £5 per child, with space-themed key rings, pencils and small toys.
  • Travel is free within 20 miles of our local teams in Hampshire, London, Essex and York. Beyond that we charge 45p a mile for the extra distance, there and back, from the nearest local team. For example, a venue 60 miles away adds 40 miles each way: 80 miles at 45p, £36.

Your written quote shows the total price, including any travel and party bags. That total is what you pay.

4. Booking and payment

  • When you enquire, we send a quote and hold the date for you free of charge while you decide. If another family asks for the same date, we will check with you before releasing it.
  • Your booking is confirmed when you pay the full price and we send you a written confirmation.
  • You can pay by bank transfer or card.

5. Number of children

Your price covers the number of children you book for. If that number goes up, before the party or on the day, we add each extra child at £12, up to 20 in total, payable after the party. The price stays at the number you have paid for, even if fewer children come on the day.

6. If you need to cancel or move the date

  • 2 weeks’ notice or more: we refund everything you have paid, or move your party to another available date free of charge, whichever you prefer.
  • Between 1 and 2 weeks’ notice: we refund what you have paid, minus a 10% admin fee.
  • Less than 1 week’s notice: we keep the full payment.
  • If your child is unwell in the final week, tell us as soon as you can, and we will move your party once, free of charge, to a date within 3 months.
  • To cancel, email [email protected] or message 07873 621402. The notice period counts from when we receive your message.

Why we charge this. When you book, we reserve a trained engineer’s time for your date and turn away other families who ask for it. We pay our tutors for that time, and we buy and prepare the materials for your crew ahead of the party, so by the final week that money is already spent. Louno Space is a community interest company: what we earn goes back into bringing hands-on STEAM to more children, and these terms help keep that mission sustainable.

Parties are a leisure service booked for a specific date, so the 14-day cancellation period under the Consumer Contracts Regulations 2013 does not apply to them. These terms give you the cancellation rights described above instead.

7. If we need to cancel

If we have to cancel, for example because your engineer is ill and no trained replacement is available, or travel is unsafe, we will tell you as soon as we know. You can choose a new date or a full refund of everything you have paid.

8. On the day

  • We arrive before the start time to set up. The session runs for 90 minutes from the agreed start time.
  • A parent or carer stays responsible for the children throughout, including for any child who needs extra support.
  • Please make sure the room is safe and has floor or table space to build on. For rocket launches we use a garden or park of roughly 20 metres, or adapt and launch indoors if the weather turns or there is no outdoor space.
  • Tell us about any allergies, medical needs or additional needs when you book, so we can plan around them.
  • We follow our safeguarding policy at every party and only take photos of children if you ask us to.

9. Our responsibility to you

We provide every party with reasonable care and skill, as the Consumer Rights Act 2015 requires. Nothing in these terms limits our liability for death or personal injury caused by our negligence, or anything else the law does not allow us to limit. These terms do not affect your statutory rights.

10. Questions and complaints

If something went wrong, email [email protected]. We reply within 5 working days and aim to put things right. These terms are governed by the law of England and Wales.
